Plan your seating
How to Create a Wedding Seating Plan: Step-by-Step
A good seating plan starts with the people and the room. Work through the guest list first, then build a layout that your venue can actually use.

1. Ask the venue for the constraints
Before arranging guests, confirm the room layout, usable table shapes, recommended capacity per table, accessible routes, exits and service aisles. The planner uses a relative canvas, not a scaled architectural drawing: check real measurements with the venue.
2. Prepare one guest list
Keep a single current list of confirmed guests. Include children and suppliers if they need seats; count high chairs separately with your coordinator. Record preferences only where they help you make decisions.
- Download the CSV guest-list template and replace its two fictional sample rows.
- Use one row per person, then save as CSV rather than an Excel workbook.
- Import it into the planner and check the guest count against your confirmed RSVPs.
3. Group people before assigning individual seats
Start with family, close friends and guests who already know each other. Add a bridge guest when mixing groups: someone who knows both sides can help conversation. Avoid making a separate table just because people are single.
| Table type | Tables | Seats per table | Total |
|---|---|---|---|
| Round guest tables | 8 | 10 | 80 |
That arithmetic includes everyone. If the couple sits at a separate table, subtract them from the guest-table allocation before adding that table.
4. Adjust the layout and seats
Move tables around the dance floor and other fixed features. Seat people with mobility needs where access is convenient, after asking about their preferences. Check that a table move does not put someone beside speakers or a busy doorway.
5. Review and hand off
Check duplicate names, unseated guests and capacity. Agree when the venue needs the final version, export a PDF, and send a clearly dated copy. Use the printable checklist for your last review.
